Title Switchboard Operator
Description PRINCIPAL RESPONSIBILITIES 1. Ensures that the telephone switchboard is functioning efficiently. Ensures that no unauthorized person enter the switchboard room. Ensures that all incoming and outgoing calls are efficiently and quickly transferred to the receiving person. 2. Call/Page individuals to inform them of telephone calls using email & other office communication equipment and also relay written & verbal messages. Place telephone calls or arrange conference calls as instructed by users/TLPA. 3. Records and places all outgoing calls whether official or personal. Ensures that all personal or long distance calls are authorized prior to placing. Monitor Incoming and outgoing calls when requested to. 4. Provide monthly telephone billing. Ensures that salutations and the organization identity is mentioned at all times for all calls. 5. Greet visitors and provide information. Handle difficult people and abusive callers tactfully with professionalism. 6. Route emergency calls appropriately. Listen to the request of the person and either solve the query or direct the call to the concerned department. 7. Provide a monthly list of all private calls and submit to Team Leader, Properties. Keep records of calls placed and charges incurred for personal calls and submit same for reimbursement to Team Leader Properties on a monthly basis. Ensures that the switchboard room is swept and kept neat and tidy. 8. Record and distribute all registered, post office and hand delivered mails in a timely and accurate manner. Receive the mail of the organization, handle business communication, arrange meetings with clients and other workplace communication, etc. Liaises with the department of Posts & Telegraph of the Post Fiji Limited with regards to mails. 9. Handles face to face customer service (internal/external). Greet visitors and provide information. Handle difficult people tactfully. 10. Listen to the request of the person and either solve the query or direct the person to the concerned officer or department. Ensure that customers are served in a professional manner. 11. Attend to the compilation of the departments weekly leave register. Ensures that the department’s leave register is submitted with HR each Monday of the following week. 12. Perform general clerical duties such as typing, proofreading, accepting delivery orders, scheduling appointments, and sorting mail. Oversee flower arrangements of the bank in Board room, CSC, staff tea room and reception, etc. 13. Handle other general clerical duties such as correspondence, calendar management and meeting coordination.
Qualification Diploma in Customer Service or its equivalent from a recognized tertiary institution.
Experience At least 3 years’ experience in telephone operator work with good customer service and telephone etiquette skills.
