|
PRINCIPAL RESPONSIBILITIES:
1. Provide quality and timely support services to the AMD Officers and other support staff which includes:
• Updating and sending of Arrears Action Sheet by respective dues dates as set by TLAMU & MAMD.
• Keying of journals of all journals and PVAs.
• Responsible of maintaining the Attendance Register and filing weekly and monthly Absence Reports as per the biometrics report provided by TOD.
• Responsible for the Collection, Recording & Distribution of all Incoming & Outgoing mail and maintaining register.
• Responsible for maintaining all other registers in the Department such as Write Off papers/Demand & Seizure Notices/Pre-Migration Reports.
• Responsible for maintaining the Departments Stationery supplies needs and requisitions.
• Compiling and maintaining of: –
o AMD Monthly Top 20 Reports.
o AMD Quarterly Write Off Reports.
o AMD Top 20 Legal Actions and Sale of Assets Reports.
• Filing of EXCO Resolutions and EXCO/Board Reports.
• Preparation to Annual Budgets and Variance Reports.
• Responsible for maintaining Monthly Fuel Report and vehicle maintenance records.
• Responsible for maintaining Monthly Mileage Report and submitting to Properties Department.
• Compilation of Write off Papers for Management, EXCO and Risk Committees.
• Recording and distribution of files and clearing of MAMD and TLAMD inward/outward trays.
• Reconciliation and monitoring of petty cash and taxi vouchers
• Dispatch/Service of Legal Documents
• Journalising of Court Filing Fees
• Filing of Court Documents at respective court registries.
• Arrange and record all travels and agency trips.
2. Determine in discussion with the Manager AMD the annual, quarterly and monthly performance targets against which the officer’s personal performance will also be assessed.
3. Complete the quarterly performance review with the Team Leaders AMD; develop improvements based on feed backs and results.
4. Ensure the accuracy and validation of all information and data acquired for support services.
5. Ensure that all tasks and functions are carried out within policy guidelines and standard practice.
6. Must be able to communicate effectively with customers and staff both orally and in written. Must develop and practice good listening skills.

Qualification
|
Diploma in Business Studies or its equivalent from a recognised tertiary institution.
|
Experience
|
A minimum of three (3) years’ experience in a similar role.
