PURPOSE:
Attend to the Bank’s settlement and ensure that the Banks securities and conveyancing documents is properly stamped and registered.
The Settlement Officer is responsible for the following;
1. Stamping and Registration

PRINCIPAL RESPONSIBILITIES
1. Stamping & Registration
a) Attends promptly to stamping and registration upon instruction by Security Documentation
Officers, SSDO, Litigation Officer and SLO.
b) Ensure that requisitions forms and lodgment's slips are filled out correctly before submitting
documents for stamping and registration with respective duties and registration fees paid
respectively.
c) Ensure that security and conveyancing documents are submitted for stamping within a day of
receipt of documents from the relevant officers.
d) Ensure that all pre-requisites are submitted together with documents lodged for stamping.
e) Maintain follow up with FRCS on documents lodged for stamping.
2. Settlement
Ensure that the following is carried out prior to settlement;
a) Attends to settlement upon receipt of instructions from SDO, Legal Support Officer Officer,
Senior Legal Officer and ensures all settlement procedures as prescribed are adhered to.
b) Co-ordinate and attend to settlements with outside organizations in particular Law Firms,
statutory bodies and Government Departments, prepare acknowledgements, ensure that all
documents presented by respective SDO’s are in order for all outgoing settlements.
c) Upon completion of settlement, cheques are to be receipted with the Cashier. In the event the
Cheque amount is more than $10,000.00, CTR Forms are to be completed and returned to
Cashier as part of RBF’s requirements, liaise with Lending Centres for payment code.
d) Responsible for all incoming settlements; ensure that we provide the correct amount to the
parties concerned; ensure all securities documents given to the Bank are in registrable form.
e) Ensure that all aspects of security documents and other associated documents are in order
before settlement is effected, last book search, confirmation of settlement figure, and
documents to be exchanged are in order.
f) Ensure that discharge documents are in registrable form before dispatch to the parties
concerned, ensure that cheque payable to the Bank has the correct amount and should be a
Bank Cheque, prepare CTR upon completion of receipt of cheque, liaise with lending Officers
on payment code for receipting of cheque.
g) Checking the completeness of all security documents before proceeding to settlement.
h) Reconcile petty cash daily for registration fees.
i) Liaise with Finance Department on timely preparation of stamp duty cheques.
j) Conduct book search prior to settlements for new loans.
k) Attending to payment of registration fees for settlement documents prior to lodgement of all
settlement documents.
l) Provide lodgement slips as evidence of settlement being conducted and forward to SDO to
facilitate issuance of security clearance certificate (Form 14.4 and Form14.3).
m) Ensure that settlement is only conducted when all compliance is in order and when all parties
to the settlement are present at the time of settlement and each party has all of it documents in
order.
n) Defer settlement when compliance not in order in consultation with SLO or Manager Legal
Services.
o) Examine and verify security and or conveyancing documents on the day of the settlement to
ensure that all compliance are in order before cheques are exchanged hands.
p) Conduct last minute titles and system checks on the date of the settlement to ensure that there
has not been any change in ownership or encumbrance registered on the title as and when
settlement is conducted.
q) At settlement, documentation and cheques will be exchanged in accordance with our client’s
settlement instructions and once the settlement is complete, we will notify our clients via email

Qualification
|
Diploma in Banking or Legal Studies from a recognized tertiary institution.
|
Experience
|
At least 3 years’ experience in a similar role.
